How information is handled

This notice explains the information processed when you use the EasyBot website, chat assistant, and contact form.

Updated 13 October 2026

Information we process

We may process contact-form details, chat messages, and the business context you choose to provide, along with technical information such as IP address, browser details, origin, timestamps, and interaction events. Records from the previous Calendly booking feature may still be retained under the policy below.

How we use it

We use this information to provide and secure the website and chat, deliver contact enquiries to the EasyBot team, respond to you, understand service performance, prevent abuse, troubleshoot problems, and prepare for meetings you request.

AI and service providers

Chat messages are sent to OpenAI for content moderation and response generation, under its own service and privacy terms. The website no longer offers appointment booking. Please do not enter passwords, payment-card information, confidential records, or sensitive personal information into the chat.

Retention

Website chat records are configured with a 180-day retention target. Cleanup runs periodically, so deletion may not occur on exactly day 180. Technical and scheduling records may be retained for as long as reasonably needed for security, operational, record-keeping, and enquiry-management purposes. Information may be retained longer when required to resolve a dispute or meet an applicable obligation.

Your choices

You can avoid submitting personal information through chat and can request a human conversation instead. To ask about, correct, or request deletion of information associated with you, call +27 83 233 2254 or use the contact form and provide enough detail for us to identify the relevant record safely.

Changes to this notice

We may update this notice when the website, providers, or data practices change. The effective date above will be updated when material changes are published.
